What this page covers How to cancel, when money comes back, how much of it, and how long it takes to reach you.
1. Scope
This policy applies to everything you buy from Vedatricks through this website, an invoice or a signed order: software subscriptions, custom engineering work, domain registrations and renewals, and payment-gateway setup. It sits alongside the Terms of Service.
It does not apply to money you pay to a third party directly — for example transaction fees you pay your payment gateway, or amounts you pay a registry through another registrar.
2. Our principles
- You can cancel a subscription yourself, at any time, without calling anyone.
- We do not charge a cancellation penalty on a monthly subscription.
- If we take money in error, or a service never started, you get all of it back.
- Where a cost has already been paid to a registry or a bank on your behalf, we cannot recover it, and we say so before you pay.
- We publish the timeline we work to, and we tell you the reference number for every refund.
3. Software subscriptions
3.1 Trials and free tiers
Trials are free and need no cancellation — they end on their own. A free tier costs nothing and can be abandoned at any time. Nothing is charged unless you choose a paid plan.
3.2 Cancelling
Cancel from your account settings, or write to us. Cancellation takes effect at the end of the period you have already paid for; the account stays fully usable until then, and afterwards moves to a read-only state so you can still export.
3.3 Monthly plans
Monthly fees are charged in advance for the month ahead. When you cancel, the current month is not refunded and no further payment is taken. We do not pro-rate part-months.
3.4 Annual plans
- Cooling-off: if you cancel within term not yet agreed; this document is in legal review of the first payment on a new annual subscription and have not used the account beyond initial set-up, we refund it in full.
- After the cooling-off window: we refund the unused whole months, less term not yet agreed; this document is in legal review. Renewals of an annual plan are treated the same way.
- If we cause it: if you cancel because we materially failed to provide the service and did not fix it within 30 days of written notice, the unused period is refunded in full with no deduction.
3.5 Downgrades and seat reductions
A downgrade takes effect at the next renewal. We do not refund the difference for the period already paid, and we do not remove data when you downgrade — features above the new plan stop being available.
3.6 Upgrades
An upgrade takes effect immediately and is charged pro-rata for the remainder of the current period.
3.7 Add-ons
Extra branches, extra seats and other add-ons follow the billing cycle of the plan they attach to, and the same rules above.
4. Custom services (websites, software, integrations)
- Custom work is quoted with milestones. The booking amount confirms your slot in our schedule and covers discovery; once discovery has started it is not refundable.
- If you cancel mid-project, you pay for work completed and accepted up to the cancellation date, plus committed third-party costs (licences, stock assets, paid APIs) already incurred. Anything paid beyond that is refunded.
- If we cancel — because we cannot deliver, or we are in material breach — you pay only for accepted work, and everything else is refunded.
- A project stalled by us beyond term not yet agreed; this document is in legal review with no reasonable cause entitles you to cancel and receive a refund of amounts paid for undelivered milestones.
- Fixed-price deliverables already delivered and accepted are not refundable. Defects within the warranty period are fixed, not refunded.
- Monthly retainers (support, maintenance, SEO) can be cancelled with term not yet agreed; this document is in legal review written notice; the notice period is payable and the current month is not refunded.
5. Domain names
Domain registrations and renewals are not refundable once submitted to the registry. We pay the registry at the moment of registration and that payment cannot be reversed. Please check the spelling of a domain before you pay.
- Failed registration: if payment succeeds but registration fails — the name was taken in the meantime, the registry rejected it, or a required verification could not be completed — we refund the full amount.
- Duplicate order: refunded in full.
- Premium domains: priced by the registry and non-refundable once ordered.
- Transfers: if a transfer fails, we refund the transfer fee. If a transfer succeeds it usually adds a year to the registration and is not refundable.
- Suspension for inaccurate details: if a registrar or registry suspends or cancels a domain because the registrant details you gave were inaccurate, or because a required verification such as .IN e-KYC was not completed, no refund is due.
- Auto-renewal: turn auto-renewal off before the renewal date to avoid a charge. A completed renewal cannot be reversed.
- Redemption and restoration: these fees are set by the registry and passed through at cost plus our published handling charge; they are not refundable.
6. Payment-gateway setup
- Our integration fee is quoted before work starts and follows the custom-services rules in section 4.
- If the gateway declines your merchant application for reasons outside our control, we refund the integration fee less the value of work already delivered, and we tell you exactly what that work was.
- Transaction fees, setup fees and any other charges levied by the gateway itself are between you and the gateway. We cannot refund them.
7. Situations where we always refund in full
- A duplicate charge for the same order.
- An amount debited where the order never completed on our side.
- A charge after you cancelled and before your cancellation was processed by us.
- A billing error by us — a wrong plan, a wrong quantity or a wrong rate.
- A service we withdrew before you could use it.
8. Situations where a refund is not due
- You changed your mind after using a paid subscription for the period in question.
- You did not use a service you had access to.
- Your account was suspended or terminated for breach of the Acceptable Use Policy or for non-payment.
- A registry or bank charge already paid on your behalf and not recoverable.
- A feature described on our pages as “in build”, “pilot” or “prototype” did not ship in the timeframe you hoped for — such features are never part of the price you paid.
- An outage covered by service credits under the SLA, for which credits are the exclusive remedy.
9. How to cancel or claim a refund
- Cancel a subscription in your account settings, or write to us if you cannot.
- For a refund, email hello@vedatricks.com from the address on the account, with the invoice number, the payment reference and one line on what went wrong. There is no form to buy and no fee to claim.
- We acknowledge within 48 hours and give you a decision — approved, partly approved with the arithmetic shown, or declined with the reason — within term not yet agreed; this document is in legal review.
- You can escalate a decision under section 13.
10. Refund method and timelines
- Refunds go back to the original payment method through Razorpay. We cannot redirect a refund to a different card, account or person.
- We initiate an approved refund within term not yet agreed; this document is in legal review.
- Your bank or card issuer then takes its own time to post the credit — typically 5 to 10 business days, and sometimes a full billing cycle for credit cards. That part is outside our control.
- We give you the refund reference so you can quote it to your bank, and we confirm by email when the refund is initiated.
- If the original method is closed, we will ask for bank details in writing and pay by bank transfer to an account in the payer’s name.
11. Chargebacks
Please talk to us before raising a chargeback — it is almost always faster to resolve directly. If a chargeback is raised, we may suspend the related service while the bank investigates and will supply the bank with the order record, delivery evidence and this policy. If a chargeback is decided in our favour, any bank penalty charged to us may be added to your account.
12. GST and credit notes
How tax is handled on a refund
How tax is handled on a refund, and what document you receive.
A refund is made net of any amount we cannot recover, and includes the GST charged on the refunded portion. We issue a GST credit note for the refunded amount in the tax period in which the refund is made, and it will appear against your GSTIN if you gave us one. Where the credit-note window under the CGST Act has closed, we refund the tax-inclusive amount without a credit note and say so.
13. If you disagree with a decision
